How to fundraise at local stores and events

Here's how to set up your in-person fundraiser.

Setting up a fundraising booth at a store, game, or community event can be a great way to reach supporters face-to-face. It gives your team visibility, builds community connection, and helps raise funds and plant trees in real time.

Here’s how to find and secure the right spot, prepare your group, and maximize the opportunity.

1. Find a high-foot-traffic location.

Look for places where people are already out and about, especially with a few minutes to spare. Great options include:

  • Grocery stores

  • Big box retailers

  • Local coffee shops or bakeries

  • Community events (e.g., festivals, school carnivals)

  • Farmer’s markets

  • Local sporting events or tournaments

Places with predictable, high weekend traffic are usually best.

2. Ask for permission (and be polite!)

Most stores and venues will require permission to set up a fundraising table. Some have formal processes; others are more informal. Always ask respectfully, and be prepared to explain:

  • Who you are (team name, age group, etc.)

  • What you’re fundraising for (and how it supports the community)

  • That you’re using a cashless, safe, digital platform

  • That you won’t block entrances or hassle customers

Bring a short printed flyer or email template you can leave behind if needed.

3. Choose the right time.

Weekends are best, especially mornings and early afternoons.
Avoid late evenings, holidays, or times when the store is overwhelmed with traffic needs.

Some venues will let you set up during special events or clearance weekends when they’re already drawing crowds.

4. Keep your setup simple and respectful.

Once approved, here’s what to bring:

  • One to two fundraising participants at a time

  • A device for transactions (smartphone or tablet)

5. Prep your team in advance.

Before your group shows up:

  • Assign shifts (1–2 hours max per participant works best)

  • Practice the pitch — short, friendly, and confident

6. Follow up with a thank-you

After the event:

  • Thank the store or event organizer (email or handwritten note)

  • Consider tagging them on social media if appropriate

  • Let them know how much you raised — and how many trees were planted as a result!
